The short answer
Describe the creator and audience you need, search YouTube, Instagram, and TikTok, save qualified creators to a campaign, choose and approve the outreach channel, then keep stages, notes, supported replies, and posted links in one shared workspace. Eligible paid Early Access adds costs and available performance.
1. Discover
Start with the audience and result you want
Describe the creator you need in everyday language. Add a niche, geography, language, platform, and follower range when those boundaries matter. CollabBase interprets the brief, shows the structured search, and lets you correct it before the search begins.
Discovery covers YouTube, Instagram, and TikTok. Results are pulled first from CollabBase's own creator database, then from across the web. Search depth, which comes with your plan, controls how long the system keeps searching for your request. A search does not guarantee a specific creator or number of matches.
2. Evaluate
Compare the evidence that is available
Review profile identity, topics, bio, location, follower count, average views, engagement, recent content, cross-platform profiles, contact paths, and fit context when those fields exist. Missing information stays missing rather than becoming a made-up score.
Ownership verification means a creator proved control of a matching supported social account. Creator-submitted shared-catalog changes may still require moderation. Verification does not certify every metric, audience member, or external claim.
3. Organize
Turn the shortlist into a campaign your team can use
Save creators from search or add an external creator manually when you already know who belongs in the campaign. Use stages, notes, posted URLs, and activity history to keep the work and decisions visible.
Campaign and creator limits apply to the shared workspace plan. Growth and Pro workspaces can add team members within their seat limits so the group works from the same campaigns, records, and plan capacity.
4. Reach out
Choose the channel and approve the message
Use connected Gmail or Google Workspace for direct email, CollabBase messaging for eligible verified creators, or assisted Instagram and TikTok DM workflows. Email and CollabBase messages are sent after review. Social DM tools prepare the message and open the destination; you send it in the social platform yourself.
When Gmail inbox sync is enabled, supported replies to email threads created through CollabBase can stay connected to the workspace; replies in eligible CollabBase conversations remain in the app. Instagram and TikTok replies do not sync automatically and must be marked manually. Sender identity, compliance details, and daily email limits are managed in settings. The same connected mailbox is used to poll supported email replies.
5. Follow through
Keep replies, follow-ups, and decisions distinct
A follow-up is one second outreach attempt after no reply or an appropriate negative response that is not an opt-out. A new message inside an active conversation is a reply, not another follow-up. Positive, question, negotiation, and agreement responses continue as replies.
Update campaign stages and notes as the relationship changes. Honor unsubscribe and do-not-contact requests. Send-time policy checks remain authoritative even when circumstances changed after a page loaded.
6. Learn
Record posted work and the results you can support
Add posted content URLs in every plan. With paid Early Access Beta, which is included with Pro, CollabBase can also organize views, engagement, clicks, conversions, revenue, refunds, creator fees, gifted product, shipping, commissions, and other costs, then calculate ROI or ROAS from the values supplied.
Performance tracking is a paid early-access capability and depends on the data the platform, creator, brand, or tracking link actually provides. CollabBase does not invent attribution or guarantee followers, sales, replies, content delivery, or return on investment.
For creators
Creators keep ownership and choice
Creators can create a free account, claim a profile, verify ownership through a supported official connection, submit current details and a contact email, review CollabBase conversations, and respond to secure reporting invitations when a participating brand sends one.
Supported social connections are read-only. CollabBase does not receive the creator's social password and cannot post, edit, or message as the creator. Claiming a profile does not guarantee ranking, discovery, outreach, or paid work.
What stays outside CollabBase
Your team remains responsible for the partnership
CollabBase does not negotiate contracts, set creator rates, approve content, transfer creator payments, provide legal advice, guarantee deliverables, or run the creator's social accounts. Those decisions remain between the brand, creator, and their advisers.
The product is the shared operating layer around discovery, decisions, outreach, campaign progress, and supported evidence—not a replacement for the human relationship.
